How do I text a customer an invoice?

Create the invoice and choose text: your customer gets a message from your business name with the amount and a secure payment link, and pays right there on the phone it arrived on.

The text goes out over a carrier-registered business messaging line, to customers who gave you their number to be billed. Email rides along with the PDF attached, so the paper trail exists whether they pay from the text or the inbox.

The payment page

Can my customer pay an invoice by card or bank account?

Yes — every invoice carries its own hosted payment page where the customer pays by card, or on accounts set up for it straight from a bank account, in about a minute on their phone or a desktop.

The page shows the invoice and the amount due. If your account is set up to surcharge, the surcharge and the exact total are printed before the card number is ever asked for; debit cards are recognized and exempted automatically, and a bank payment is never surcharged. On a dual pricing account the payment page shows the card price, the bank price and the cash price side by side, and the customer picks one. Before the charge goes through the customer confirms a six-digit code sent to their email or phone. When the payment lands, the invoice flips to Paid on your dashboard the same moment, and a receipt is emailed automatically.

  • Fees shown before payment, always

    If your account is set up to surcharge, the customer sees the surcharge and the exact total before they commit; debit cards and bank payments never carry one. If it runs dual pricing, the card price, bank price and cash price are printed and the customer chooses. Either way the price is known before the card is — a card-brand requirement and a customer-service one.

    Accounts with ACH switched on show a bank option beside the card on the same page — routing and account numbers, same invoice, same link. A saved bank account works for autopay on a recurring schedule too. Ask us to turn it on.

How do automatic invoice reminders work?

Turn them on once in Settings and the software reminds the customer before the due date, on the due date, and on a schedule while the invoice is overdue — then goes quiet the moment it’s paid.

You choose the cadence and the channel, per your business — email, text, or both. There’s a Send reminder button on every invoice too, for the one that needs a nudge today. Every reminder is logged on the invoice, so you can see exactly what the customer was sent and when.

Recurring & autopay

Can I set up recurring invoices with autopay and payment plans?

Yes — a schedule creates and sends the invoice each cycle on its own, weekly, every other week, monthly or every three months, and can end on a date or after a set number of payments. Autopay can charge a card or bank account your customer saved, with their recorded permission, on the due date.

Schedules read in plain words — "Monthly on the 15th", "Every other Friday", "Every 3 months on the 1st" — and the month-end dates behave: an anchor on the 31st bills on the last day of shorter months instead of skipping them. A four-payment plan is "After a number of payments: 4"; the screen shows the date of the last invoice before you save, and the schedule finishes on its own. The invoice is created a day ahead and sent through the normal channels, so the customer sees the bill whether or not autopay settles it.

  • Pause without losing the card

    Pause a schedule, change the billing day, resume next season — the saved payment method stays put. Nobody re-reads a card number over the phone.

  • Payment plans that end on their own

    A schedule can run until you stop it, end on a date, or end after a set number of payments. The Recurring list shows the progress in words: "4 payments — 1 sent, 3 to go".

  • The card lives at the processor, not here

    What the software stores is a token and the last four digits. The card number itself is vaulted by the payment processor — which is exactly where it should be.

  • Autopay never surprises anyone

    The customer authorized the card or bank account, gets the invoice the day before marked "No action needed — this invoice will be paid automatically", and can "Pay it yourself instead" to use another method. A failed charge is emailed to your team, always, and never retried on its own.

  • "Invoice only" is a normal choice

    A schedule can simply send the invoice and let the customer pay each one from its link — the right setting for customers who pay by check or on terms.

Can I take a card payment over the phone without sending an invoice first?

Yes. "Take payment" opens from any page: pick the customer, type the amount and what it is for, then charge a card on file, key the card they read you, or hand them your phone and let them key it. The charge is filed as a paid invoice, and "Email receipt" or "Text receipt" sends the customer a receipt.

The card form inside the drawer is your own secure payment page, prefilled with the customer, so the invoicing software never holds a card number. A declined card says so in the issuer’s own words, and nothing is ever retried on its own.

    A customer with stored cards shows them as chips, with the default and any expired card marked. "Charge $X to Visa ····4242" is one click.

  • Customer keys it

    A plain screen with the amount and the card form. Hand the phone over; when it reads "All set — hand it back." the payment has landed.

  • Every charge is a real invoice

    The sale lands on the Invoices list as Paid with the processor reference, so it shows on Reports, in the Payments CSV and in the customer’s history like any other.

Know your numbers

Who owes me money, and how late are they?

The "Who owes you" report ages every open balance as of today — "Not yet due", "1–30 days", "31–60 days", "61–90 days", "Over 90 days" — and a "Statement" PDF for any customer lists every open invoice with its age and a pay link on each line. Every table downloads as a spreadsheet.

The Payments CSV is one row per payment with the method, who recorded it and the processor’s own reference: the file for reconciling deposits. On supported processors, Reports also lists the gateway’s settlement batches as they close, card and bank never summed, with a match flag per batch. "By month" shows what you invoiced and received with the tax billed and collected; "Top customers" ranks who paid you. The Profit page shows what you made on paid invoices once each line has a cost — and only you see it; a cost never appears on an invoice, a PDF or a receipt.

  • Into QuickBooks Online, as a file

    "QuickBooks import (CSV)" on the Invoices list downloads your sent and paid invoices in the shape QuickBooks Online’s Import invoices screen expects, with its own column names. A file you upload, not a live sync.

  • Aging counted from the due date

    A Net-30 invoice issued last week is "Not yet due", not late. Invoices go overdue at midnight in your own time zone.

  • Nothing exports a cost

    Invoices, line items, payments and every report download as CSV. None of them carries an item’s cost or the profit on an invoice, because exported files get forwarded.

Can my team and my other software work in it?

Yes. Teammates are invited by email and sign in with Google or a password; owners control roles and access, staff have full use of the app. For software, API keys are read-only or read and write, and signed webhooks tell your own tools — or Zapier — the moment an invoice is sent, viewed, paid, partially paid, overdue or canceled, a customer changes, or a charge fails.

Alerts to the team arrive by email: the moment an invoice is paid, a daily digest each morning, the first time a customer opens an invoice, and a failed-autopay alert that is always on. Zapier, QuickBooks, Zoho and Salesforce are the named connections, and the verb matters: Zapier connects directly, QuickBooks Online takes an import file, and Zoho and Salesforce connect through Zapier, the API and signed webhooks — there is no direct connector. The same API and webhooks reach anything else.

  • Ten webhook events, signed

    Every message carries an X-Fusion-Signature header. Deliveries retry on a ladder — a minute, five, thirty, two hours, twelve — then wait for you; nothing is lost.

  • Zapier, triggers and actions

    The ten events as triggers. Create or update a customer, create an invoice, send it by email, record a payment you already received, cancel, find — as actions.

  • What the API can never do

    Charge a card on demand, take a card number, or remove a stored payment method. Those stay in the app, on purpose.

Security

Where does the card number live?

On your own payment page and in the processor’s vault — never in the invoicing software. There is no card-number box anywhere in this app; it sees the last four digits and a reference. A customer paying from the link confirms a six-digit code before the payment goes through.

Storing a card or bank account requires recording that the customer authorized it, and when. Nothing is ever deleted: canceled invoices, archived customers and removed teammates stay on the record with their history.

  • Two ways to store a payment method

    "You enter it" on a seven-day secure link while the customer authorizes you, or the customer gets a single-use link by email or text and enters it themselves. Both land on your payment page, not here.

  • Nothing is retried on its own

    A declined or unconfirmed charge is shown, emailed, and left for a person to retry — never re-run by the software.

Q-01What is text-to-pay invoicing?

Text-to-pay means the invoice arrives as a text message with a secure payment link, and the customer pays by card on their own phone — no app, no account. It’s a billing message you send to a customer who gave you their number, from your business name, and a reply of STOP ends the texting for good.

Q-02Do my customers need an app or account to pay an invoice?

No. The link in the text or email opens a hosted payment page in the browser, they pay by card, and they’re done. There is nothing to download and no password to make up.

Q-03Can a customer pay an invoice by bank transfer (ACH)?

Yes, on accounts set up for it. Bank payment is switched on per account rather than being on by default — once it is on, the hosted payment page offers paying straight from a bank account alongside the card, and the customer enters their routing and account numbers on that page. Nothing to install, no account to create. A saved bank account works for autopay on a recurring schedule too, the same way a card on file does. Ask us to switch it on for your account.

Q-04How does autopay work with a card or bank account on file?

Your customer authorizes a card or bank account once, and that authorization is recorded. The details are vaulted by the payment processor — the invoicing software keeps only a token and the last four digits. Each billing cycle the invoice goes out the day before, marked "No action needed — this invoice will be paid automatically", and on the due date the saved method is charged. The customer can "Pay it yourself instead" at any time; remove the method and charging stops immediately.

Q-05What happens if a customer replies STOP?

Texting to that customer stops immediately and stays stopped — the software blocks the channel rather than trusting anyone to remember. Their invoices and reminders continue by email, so a STOP never means an unpaid invoice goes silent.

Q-06Does the customer see card fees before paying?

Yes, always. If your account is set up to surcharge, the surcharge is a printed line on the payment page above the Pay button, and the exact total is shown before a card number is entered. Debit cards are recognized and exempted automatically, and a bank payment is never surcharged. If your account does not surcharge, the customer pays exactly the invoice amount.

Q-07Can I add a surcharge to invoices?

Yes, if you want one. Surcharging on invoices is optional and configured per account, never a default — and when it is on, the surcharge prints as its own line on the payment page above the Pay button, so the customer sees the exact total before entering a card. It is a card-brand program with real limits: capped, regulated state by state, and never permitted on debit. We confirm what your state and your card brands allow, then set up the invoice, the payment page and the receipt language before it goes live. If surcharging does not fit your business, the same account can run dual pricing instead: the invoice payment page shows the card price, the bank price and the cash price, and the customer picks one.

Q-08Can I pass the credit card processing fee to my customer on an invoice?

Yes, in one of two ways, and both are printed before the card is asked for. A surcharge program adds the card fee as its own line on credit cards only — debit is exempt and a bank payment is never surcharged. Dual pricing shows a card price, a bank price and a cash price on the invoice payment page and the customer chooses; the price you set is the price you keep. We set up whichever fits your business and your state, with the disclosure language, before it goes live.

Q-09Can I bill quarterly, or set up a payment plan?

Both. A recurring schedule bills weekly, every other week, monthly or every three months on the day you pick, and under "Ends" you choose no end date, a date, or "After a number of payments" — a four-payment plan is 4. The last invoice’s due date is shown before you save, and the schedule finishes on its own.

Q-10Can I charge a card over the phone without an invoice?

Q-11Does it work with QuickBooks Online?

As an import file. You upload it in QuickBooks Online under Import data. It is not a live sync, and there is no QuickBooks Desktop file.

Yes. The "Who owes you" report on Reports lists every customer with an open balance, largest first, aged as of today from "Not yet due" to "Over 90 days", and downloads as CSV. For one customer, "Statement" on their page builds a PDF of every open invoice with its age and a pay link on each line.
